Font Embedding for Book Printing

Font embedding stores the fonts used by the document inside the PDF. This allows the file to keep the intended typeface when it is opened or printed on another computer.

For normal book interiors, embedding fonts is usually better than converting hundreds of pages of text to Outlines.

Embedded and Subset Embedded Fonts

In a PDF, you may see either:

StatusMeaning
EmbeddedThe font is included in the PDF
Embedded SubsetOnly the characters actually used are included
No embedding statusThe font is not embedded

Embedded Subset is normal for print PDFs. It keeps the required characters while avoiding unnecessary font data.



Exporting Fonts with the PDF

When exporting from InDesign, use:

File > Export > Adobe PDF (Print)

Fonts that allow embedding are included according to the selected PDF export settings. You normally do not need to convert the interior text to outlines first.

If the file uses a font that does not permit embedding, fix the font before submitting the final PDF. Replacing the font is usually cleaner than turning an entire book interior into outlines.



Check Fonts in Adobe Acrobat

After exporting the PDF:

  1. Open it in Adobe Acrobat.

  2. Open Document Properties.

  3. Select the Fonts tab.

  4. Check the fonts listed in the file.

The font name should normally be followed by Embedded or Embedded Subset.

For example:

MinionPro-Regular — Embedded Subset
MyriadPro-Bold — Embedded Subset

If a font appears without an embedding status, go back to the source artwork and check that font before production.



Font Embedding Is Not the Same as Sending Font Files

An embedded PDF already contains the font information needed to reproduce its text. You do not normally need to send separate font files with a final print-ready PDF.

Editable source files are different. If an InDesign or Illustrator file needs to be opened and edited, the required fonts must also be available on that system unless the relevant text has already been converted to outlines.

Check the Final PDF, Not Only the Source File

A font working correctly in the original layout does not confirm that it is embedded in the exported PDF.

Check the final Print-Ready File itself, especially when the book uses several font families, custom typefaces, or multiple language versions.
